First Login

When you first access Ward, you'll need to sign in with your facility credentials.

Signing In

  1. Open Ward (mobile app or web)
  2. Enter your email address
  3. Enter your password
  4. Tap Sign In

If your facility uses single sign-on (SSO), you may see a "Sign in with SSO" option instead. Tap it and follow your organization's authentication flow.

Claiming Your Invite

If your administrator sent you an invite:

  1. Open Ward and sign in with the email address your invite was sent to
  2. Enter the invite code from your email
  3. Your account is activated with the role and unit your administrator assigned

Multi-Factor Authentication (MFA)

Ward uses MFA via authenticator apps (TOTP) to protect accounts:

  • Required for elevated roles: Charge Nurse, Unit Manager, Director, Admin, and IT Admin must enroll in MFA on first login. You'll be guided through the setup process before accessing the app.
  • Optional for Staff role: Staff can enable MFA from their profile settings.

When MFA is enabled, you'll enter a 6-digit code from your authenticator app (Google Authenticator, Microsoft Authenticator, Authy, 1Password, etc.) each time you sign in.

Biometric Lock

After signing in, the app may lock after 5 minutes of inactivity. Use Face ID, Touch ID, or your device passcode to unlock. This protects patient data if your device is left unattended.

Password Requirements

Passwords must be at least 12 characters.

Roles and Access

Your access level depends on your assigned role:

Your role determines which screens and features you can access.

Troubleshooting

"Invalid login credentials"

  • Verify you're using the correct email address
  • Check for typos in your password
  • Use Forgot Password to reset if needed

"Account is locked"

Your account may be locked after multiple failed login attempts:

  • Temporary lock: Wait 15 minutes to 1 hour, then try again
  • Permanent lock: Contact your administrator to unlock your account

This protects your account from unauthorized access attempts.

"No organization found for this email domain"

  • Your facility may not have SSO configured yet
  • Try signing in with email and password instead
  • Contact your facility administrator

Can't sign in with SSO

  • Ensure you're connected to your facility network if required
  • Contact your IT department for SSO configuration issues
